Position Summary

The Executive Assistant (EA) is an organized and experienced administrator whose primary responsibility is providing high-level, confidential professional administrative support to two C-Suite Executives: the Deputy Director and Head of Research Development & Regulatory Affairs in Research Development and Regulatory Affairs and the Chief Operating Officer (COO).

Reporting directly to the Deputy Director and COO, the Executive Assistant provides executive support, calendar management, coordinates executive outreach and internal relations efforts; management of Data Use Agreements, and oversees special projects as needed. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. This position is often privy to confidential information and as such, requires diplomacy and discretion. Desired personal attributes include someone who is organized, resilient, flexible, has a high level of professionalism and strong attention to detail, is independent and self-motivated, has polished verbal and written communication skills, and is a creative, solution-oriented problem solver. 

Location

This is a remote position from a suitable home office with a private and quiet area to work. Secure internet and reliable phone reception are required. This position requires frequent phone and internet meetings. Certain home office expenses may be reimbursed. A work computer will be provided.

Occasional travel to the Santa Cruz or Oakland offices in California may be required.

Hours

Full-time, 40 hours per week.We are a West Coast-based company and applicants must be available during normal business hours (9:00 AM - 6:00 PM Pacific Time, Monday through Friday). The exact schedule may be arranged upon hire. Occasional weekend hours may be required with advance arrangement.

Minimum Requirements

  • Undergraduate degree (BS/BA); BS or background in science strongly preffered
  • Strong work tenure: 3-5 years of experience supporting C-Suite executives.
  • Outstanding communicator written and verbally
  • Demonstrated success in collaboration with others
  • Highly detailed oriented and organized

Position Duties

  • Provide administrative assistance, where directed by the Deputy Director and Head of Research Development & Regulatory Affairs in Research Development and Regulatory Affairs and the COO
  • Manage calendars, planning, and scheduling, and act as “gate-keeper” for the Deputy Director and Head of Research Development & Regulatory Affairs in Research Development and Regulatory Affairs and the COO
  • Participate in internal and external meetings, track agenda’s and keep meeting notes (as needed)
  • Writing Projects: Completes all writing projects as assigned by the DD and COO including, but not limited to: internal newsletters, Executive bios, press releases, internal announcements and staff-wide emails, and other organization-wide content.
  • Assist with task management (using Asana project management platform)
  • Manage meeting agenda for MAPS PBC All Staff / Town Hall meetings and shared MAPS / MAPS PBC Meetings
  • Supporting the DD with the management of Data Use Agreements, coordinating with outside researchers
  • Other duties as needed

FLSA Status

Non-Exempt (this position is eligible for overtime)

Compensation

Hourly, includes excellent benefits package.
